Frequently asked questions

We answer the most common questions about our services and the Microsoft ecosystem.

What kind of company is Business Central for?

It's ideal for small and medium-sized businesses, roughly between 20 and 200 employees, that want to stop managing their finances, sales, purchases and inventory in loose spreadsheets or a disconnected old system, and move to a single cloud system where all that information lives together. Being a Microsoft product, it connects naturally with Microsoft 365 for email and collaboration, and with Power BI if you later want advanced data analysis. It's equally suitable if you're coming from Navision (Dynamics NAV) and want to modernise your ERP, or if it's the first time your company implements a full management system.

Are you an official Microsoft Partner?

Yes. At AXPA365 we are a Microsoft technology partner, which means we work within Microsoft's official partner ecosystem, with access to its resources, training and best practices, not as an outside integrator using its products without that direct relationship. Day to day we work with Dynamics 365 Business Central as the ERP, Power BI for data analysis, Power Platform for automation and custom apps, and Azure for cloud infrastructure, alongside Microsoft 365 for the workplace. That specialisation lets us master each product in depth and guarantee they all integrate with each other without friction.

How much does it cost to implement Business Central?

Every project is unique, so we won't give you a generic figure that in practice wouldn't mean anything for your specific case. The cost depends on several factors: how many users will work in the system, how complex your current processes are, whether you need to migrate data from another system, how much custom development your operations require, and what additional modules or solutions you need beyond the base ERP. We prepare a tailored quote after an initial analysis of your situation, with fixed scope, timeline and cost, so you know exactly what you'll pay and why before committing to anything. Get in touch and we'll look into it with no obligation on your part.

How long does an implementation take?

It mainly depends on the project's scope — how many modules you'll use, whether there's custom development, how much data needs migrating from your current system — but as a rough guide a standard implementation for a small business is usually completed within a few weeks. The project is always organised in clear phases: first analysing your processes and needs, then configuring the system as agreed, migrating your historical data, training your team so they know how to use it from day one, and finally going live with close follow-up in the first weeks. After the initial analysis of your specific case we give you a firm timeline, not a generic estimate.

Do you migrate from Navision (Dynamics NAV)?

Yes. We migrate your Navision, whether an older version such as 2013, 2016 or 2018, to Business Central, preserving your master data, your transaction history and any customisations you have, as long as they're technically compatible with the new platform; when they're not, we adapt or rebuild them following the same functional logic. We design a migration plan tailored to your case, with prior analysis of which customisations need to move across as-is and which are better rebuilt to take advantage of the current system's improvements, and we support you throughout the whole process, including the critical phase of validating that the migrated data is correct before considering the project closed.

Do you offer support and maintenance?

Yes. We offer several support models so you can choose whichever fits how your company works: hour packs you draw down as needed, monthly support with a fixed fee and an included volume of hours, or service level agreements (SLAs) with guaranteed response times for companies that need that certainty. In every case you talk to a close-knit team that knows your specific implementation, not a generic support desk starting from scratch on every ticket. Besides fixing one-off problems, that same team keeps evolving your solution as your business needs change.

Can you connect Power BI with our ERP?

Of course. We design Power BI dashboards that connect directly to your Business Central data, so reports update on their own as sales, purchases or stock movements are entered in the ERP, with nobody having to export data by hand into a spreadsheet. We can also combine that data with information from other sources — another system you run in parallel, external files, other applications in your company — to get a combined view of the business in a single report. The goal is for you to make decisions based on real, up-to-date information, not figures from weeks ago gathered manually.

Do you work with companies in my industry?

We have specific experience in distribution, industry and manufacturing, fashion and textiles, and retail, and in each of those sectors we've adapted Business Central to its particular challenges: batch control and traceability in manufacturing, size and colour management in fashion and textiles, multiple points of sale and stock control in retail, or routes and logistics in distribution. If your sector isn't on that list, it doesn't mean we can't help: we start from Business Central's standard functionality, which covers processes common to most businesses, and adapt it with custom development to the specific aspects of your activity, whatever the sector.

Do you serve clients who already have Business Central with another partner?

Yes, and it's a fairly common situation: companies that already have Business Central implemented by another partner, but who for whatever reason — lack of responsiveness, changes in the original partner's team, needing a closer service — are looking for a new point of contact. We can take over support, ongoing consultancy and the evolution of your system without needing to reimplement it from scratch: we start with an analysis of how your environment is currently configured, what customisations it has and how your team works, so we can support you with real knowledge of your case from day one, instead of operating blindly on a configuration we don't know.

What is Dynamics 365 Business Central?

It's Microsoft's cloud ERP (enterprise resource planning system), designed specifically for small and medium-sized businesses, although it also scales to larger organisations. It unifies finance, sales, purchasing, inventory and day-to-day operations in a single system, so all that information lives connected instead of scattered across applications or spreadsheets that don't talk to each other. Being a Microsoft product, it connects naturally with Microsoft 365 for email and collaboration, and with Power BI for advanced data analysis, forming a coherent ecosystem instead of a set of loose tools.

Can you integrate Business Central with my online store?

Yes. We integrate Business Central with Shopify and PrestaShop stores to automatically sync products and prices, stock levels, orders and customer data between your online store and the ERP, with nobody having to copy information by hand from one system to the other. This avoids two very common problems when the store and the ERP run separately: the manual work of re-entering every order into the management system, and the inventory mismatches that appear when the stock shown in the store doesn't match what's actually available. The exact scope of the integration — which data flows and in which direction — is tailored to how your specific business works.

Do you offer training to our team?

Of course. Training isn't an optional add-on, it's an integral part of every implementation we carry out: we always include it as one of the project phases, right before going live. We support your team with practical sessions based on real examples from your business, not generic cases that don't resemble your day-to-day, so each person knows exactly how to do their specific job within the new system from the first day they use it in production. If you later bring in new staff or want to reinforce the use of a specific feature, we can also arrange additional training sessions as part of ongoing support.

Do you work with companies across all of Spain?

Yes. Most of the implementation, training and support work can be carried out perfectly well remotely thanks to Microsoft 365's collaboration tools and Business Central's remote administration capabilities, so geographic distance isn't a real limitation. When a specific project calls for it — an in-person training session with the whole team, for example, or a visit to understand first-hand how your warehouse or production line works — we travel without any problem. Either way, we serve companies across the whole of Spain with the same closeness and the same responsiveness, regardless of where they're located.

Do you automate processes with Power Automate?

Yes. We design Power Automate flows to automate repetitive tasks that today probably rely on emails and on someone remembering to do them on time: internal approvals for orders or expenses, automatic notifications when something relevant happens in Business Central, document generation from templates, or data synchronisation between Business Central, Microsoft 365 and other applications you use in your company. You don't need to know how to code to benefit from this: we design and configure the flows around your real processes, and your team simply sees the result, like an approval that lands directly on the phone of whoever needs to decide instead of getting lost in an inbox.
